Instructions for
submitting final abstract

 

  1. All approved papers must follow these guidelines, regardless of the approved format - oral or poster, for submitting the final paper.

  2. The presentation of technical papers at the IWA 17th SWWS and 9th ROS Conferences will be conducted in person.

  3. When accessing the system, authors will have access to reviewer comments, which must be incorporated into the final paper.

  4. The file "Final Abstract Template" is the model to be used. You must use this file as a template for editing your paper.

  5. The page limit for each paper is 4 A4 pages, and the file must not be compressed. The first three pages should contain all the text (Title, Highlights, Introduction, Methodology, Results, and Conclusions), with images and tables included within the text. The last page is exclusively for Acknowledgments and References.

  6. To save your paper, the final file name must be the paper code provided by the Event Organization followed by the theme. Files that do not follow this rule will not be considered. Example: Theme 1 – 001; Theme 2 – 236, and so on.

  7. Papers must be submitted via the website in Word and PDF formats:

    • Access the "Technical Papers" menu;

    • Locate the "My Papers" section;

    • The final paper submission will be enabled for papers selected in Phase 1 (Abstract submission). Papers sent by mail or email will not be accepted.

  8. The final paper files must be submitted by 11:59 PM on September 20, 2024.

  9. No changes to the final paper will be possible after it has been submitted through the system.

  10. After submitting the final paper, authors must monitor the validation process in the "Status" tab.

  11. Only papers that have been approved and for which the Presenting Author's  registration payment has been confirmed by September 20, 2024, will be included in the event program. To register, log in with your credentials, access the registration menu, choose your category and receive confirmation of registration completion. This registration will validate up to 03 approved papers for this Author/Presenter.

Important Dates:

  • a) Final paper submitted by September 20, 2024, following the Final Abstract Template.

  • b) Presenting Author's payment (validating up to 03 papers) by September 20, 2024 – in the “paper author” category in the registration fee table: https://www.swwsrosconference2024.org/registration-fees

  • c) Starting October 2024, the rules for poster preparation and oral presentation during the event will be published.

Step-by-Step Guide for Submitting the Final Abstract Oral or Poster

  • Step 1: access the system and review reviewer comments: When logging into the system, authors will have access to the reviewer comments that must be incorporated into the final paper. Deadline: September 20, 2024.

  • Step 2: download and use the Final Abstract Template: The "Final Abstract Template" file is the model to be used. You must use this file as the basis for editing your paper. The page limit for each paper is 4 A4 pages. The first three pages should contain all the text (Title, Highlights, Introduction, Methodology, Results, and Conclusions) with images and tables included. The last page should be exclusively for Acknowledgments and References.

  • Step 3: formatting and submission of the final paper: To save your paper, the final file name must be the theme followed by the paper code provided by the Event Organization. Example: Theme 1 – 001; Theme 2 – 236.

 

Please note: the file must be submitted in both Word and PDF formats by 11:59 PM on September 20, 2024

  • Step 4: check the paper status and confirm payment: After submitting the final paper, authors must monitor the validation process in the "Status" tab. Only papers that have been approved and for which the Author/Presenter registration payment has been confirmed by September 20, 2024, will be included in the event program.

  • Step 5: preparation for presentation (poster/oral): The guidelines for poster preparation and oral presentation will be published starting October 2024.

    • Log in with your credentials, access the "Technical Papers" tab on the website, and locate the "My Papers" section. This path will lead you to the status of the paper, reviewer recommendations, and a location to upload the final abstract file in PDF and Word.

  • What is the page limit for the paper?

    • The limit is 4 A4 pages as specified in the guidelines.

  • How should I name the file for my paper?

    • The file name should follow the format: Theme + Paper Code

  • Where can I check the status of my paper?

    • After submitting the final version, check the status in the "Status" tab on the system.

  • What is the final deadline for submission and payment?

    • All papers and payments must be completed by 11:59 PM on September 20, 2024.

Failure to follow the instructions may result in disqualification of the paper or its exclusion from the event program. Please follow all steps as described, and use the contact email only as a last resort if you have any questions.
